Is your CPA quietly fixing your books every year?

A lot of owners believe their books are fine because the tax return always gets filed. Often that's because the CPA rebuilds the numbers from bank and card statements every spring — and bills for it. The return ends up right. The books you run the business on the other eleven months don't.

How to tell if it's happening to you

It rarely announces itself. "It's always been done this way" is usually the first sign — because the cleanup happens out of sight, once a year, after the fact.

  • Your CPA asks for bank and credit card statements, not just a QuickBooks login or a set of reports.
  • Every year brings adjusting entries or a long list of "what was this?" questions.
  • The profit in QuickBooks doesn't match the profit on your tax return. Sometimes not even close.
  • Balance-sheet accounts never move — a loan balance that doesn't go down, a petty cash or "ask my accountant" balance nobody can explain, payroll liabilities that only grow.
  • Nobody has closed a year in QuickBooks in a while, so you can't pull a clean year-end report.

Any one of these on its own can be innocent. Two or three together usually mean your real books live in your CPA's workpapers, not in your software.

Why it matters even though the taxes get done

  • You pay for the books twice. Once for whatever bookkeeping happens during the year, and again when your CPA rebuilds it at tax time.
  • You're steering on bad numbers. Pricing, hiring, and cash decisions get made on books that are wrong until next spring.
  • Selling, borrowing, or bringing in a partner gets harder. A buyer or lender wants statements that tie to your filed returns. When they don't, deals slow down or fall apart.
  • Problems hide. Unpaid liabilities, missed payroll filings, and loan balances that were never booked don't show up until someone goes looking.

We start from what's actually true: your last filed return and your bank and card statements. From there we bring the books forward so they tie to the return, with opening balances you can trust — not a repair job layered on years of guesses. Then we keep them current every month, so year-end is just closing one more month and your CPA receives clean books instead of a reconstruction project.

We work with your CPA, not around them. They keep doing your taxes; they just stop having to rebuild your year first.

My CPA already takes care of it. Why change anything?
Your CPA is making sure the tax return is right, and that matters. But a once-a-year rebuild means your own books are wrong the rest of the year, and you're paying your CPA to redo work that should already be done. Clean monthly books give you numbers you can use now — and usually a shorter, simpler tax season.
Will you replace my CPA?
No. We keep the books; your CPA prepares and files your returns. We hand them reconciled, closed books and answer their questions, so they can spend their time on tax work instead of reconstruction.
How far back do you go?
Usually from your last filed return forward. That return is the most reliable starting point there is, so we set opening balances from it and rebuild the current year from your bank and card statements. If something earlier needs attention, we'll tell you and scope it separately.
What does a cleanup cost?
It depends on how many accounts you have, how many transactions run through them, and how far behind things are. We scope it after a free 30-minute consultation — the catch-up as a one-time project, then ongoing monthly bookkeeping — so you know the cost before any work starts.
Do I have to switch to QuickBooks Online?
We do our work in QuickBooks Online. If you're on QuickBooks Desktop, we'll talk through whether moving makes sense for you — for books that need rebuilding anyway, starting clean is often simpler than repairing an old file.
